Safeguarding Policy

RampRC CIC is committed to protecting every participant, staff member, and visitor across all RC Car Build & Race and Media Production Pathway programmes.

1. Policy Statement

RampRC CIC is committed to safeguarding and promoting the welfare of all children, young people, and vulnerable adults who engage with its RC Car Build & Race and Media Production Pathway programmes. All participants have the right to learn, create, and take part in a safe, respectful, and supportive environment.

Safeguarding is everyone's responsibility. Every tutor, facilitator, volunteer, and visitor must act in a way that prevents harm, promotes wellbeing, and reports any concern, no matter how small, without delay.

RampRC is not a PRU or school. It operates as a professional learning and activity environment with the same behavioural expectations found in motorsport, media production, and other technical disciplines.

2. Purpose & Scope

This policy ensures that:

  • All staff understand their safeguarding duties and the correct reporting process.
  • Participants and families know what behaviour and standards are expected.
  • Incidents or concerns are handled quickly, fairly, and lawfully.

It applies to:

  • All participants aged 14–16 and 17–21 across all programme cohorts.
  • All employees, contractors, volunteers, and trustees.
  • All RC Car Build & Race and Media Production Pathway activities, events, trips, and online content.

3. Legal Framework

This policy aligns with:

  • Children Acts 1989 & 2004
  • Working Together to Safeguard Children (2023)
  • Keeping Children Safe in Out-of-School Settings (2020)
  • Data Protection Act 2018 / UK GDPR
  • Safeguarding Vulnerable Groups Act 2006
  • Human Rights Act 1998
  • Equality Act 2010

4. Roles & Responsibilities

Designated Safeguarding Lead

Michael Holder

  • Main contact for all safeguarding concerns
  • Decides when to refer to local authority or LADO
  • Maintains secure safeguarding records
  • Delivers staff training and ensures policy review

Deputy DSLs / Programme Leads

  • RC Pathway Lead
  • Media Pathway Lead
  • Both hold Level 3 safeguarding training
  • Support the DSL and cover responsibilities when absent

Tutors & Facilitators

  • Monitor participant wellbeing and professional boundaries
  • Report concerns immediately to the DSL
  • Reinforce safety rules during every session

Volunteers & Visitors

  • Must follow RampRC's Code of Conduct
  • Never work unsupervised with participants
  • Sign in and remain supervised at all times

5. Responding to Concerns: Reporting Procedure

If you have a concern about any participant, staff member, or visitor, follow these five steps immediately.

RECOGNISE
Be alert to changes in mood, behaviour, injuries, or interactions that cause concern.

RESPOND
Stay calm. Listen carefully. Reassure but never promise confidentiality.
3
REPORT
Inform the DSL immediately. If DSL unavailable, contact Deputy DSL.
4
RECORD
Complete a written Safeguarding Concern Form within 24 hours. Store securely.
5
REFER
DSL contacts Children's Social Care, LADO, or Police if necessary.

If the concern involves the DSL, report directly to the Chair of Directors or the Local Authority Designated Officer (LADO).

6. Safe Practice Standards

RC Track & Workshop

  • Colour-coded tools returned to matching toolboxes after every session
  • Mandatory pit checks at the start and end of sessions
  • Teams remain in allocated pit areas unless directed by a tutor
  • Only trained participants may access the elevated driver stand
  • LiPo batteries charged and stored per RampRC SOP
  • No running, horseplay, or aggressive behaviour anywhere on site

Media Production Areas

  • Filming supervised by staff at all times
  • Written consent required before recording
  • Editing equipment used only during supervised sessions
  • Content stored and published in accordance with the GDPR Policy

7. Recruitment, Training & Supervision

  • All staff and volunteers complete enhanced DBS checks before starting.
  • Tutors and facilitators complete Safeguarding & First Aid training every 2 years.
  • Induction covers code of conduct, boundaries, confidentiality, and reporting.
  • Annual refreshers ensure awareness of updates to safeguarding guidance.
  • Visitors sign in and are supervised at all times.

8. Behaviour & Conduct Standards

RampRC maintains a zero-tolerance stance toward bullying, discrimination, aggression, or any form of harassment. Such behaviour is treated as a safeguarding and disciplinary issue and may result in immediate dismissal from programmes without refund.

Professional conduct expectations mirror industry standards in motorsport and media production.

9. Data Protection & Confidentiality

Safeguarding information is recorded accurately, stored securely, and shared only:

  • With safeguarding professionals on a need-to-know basis
  • With parental or participant consent where appropriate
  • When legally required

Records are retained in line with the Data Retention Policy (2026).

10. Monitoring & Review

DSL reviews all safeguarding cases quarterly.

Policy reviewed annually or after any major incident or law change.

Findings shared with staff, partners, and commissioners.

In an Emergency

If someone is in immediate danger or at risk of serious harm, call 999 first. Then inform the DSL as soon as it is safe to do so.
